How to Track School Fees and Give Receipts in a School
Paper registers make it hard to know who has paid and who still owes. A few habits, and the right tool, make fees clear for everyone.
Write down the fee structure
List what each class pays in a term: tuition, boarding and any other charge. A clear structure prevents arguments later.
Record payments the same day
Note the learner, the amount, the date and who received it. A payment logged later is easily forgotten or mistyped.
Issue a receipt every time
A good receipt shows the school name, the learner, the amount paid, the balance and a receipt number. Keep a copy.
Read balances at a glance
Each learner’s balance should be visible without adding columns, so the bursar and head teacher can follow up quickly.
Remind politely
Use the balance list to contact parents before the term closes, by phone or message.
Where Eduscape helps
It stores the fee structure, records payments with receipts and shows every learner’s balance. The head teacher sees the totals and parents can be messaged from the same place. Read the school management system overview.
